Import Preparation

User information you want to import will need to be in a CSV file. CSV (comma separated value) is a popular exchange format many applications support when importing or exporting information.

A CSV file does not require special formatting to import it into TekTrack. The columns of information can appear in any order. Unrelated information columns in the file will be ignored.   TekTrack only imports the columns that you specify.

Importing users is easiest when the CSV file contains column headers that identify the content of the column.  The headers will be visible during the TekTrack import process.  To prepare your file to be imported:

  • Open the Excel or CSV file using Excel or another editor.
  • Make sure Row 1 of the file contains headers for each column.  You will reference the headers' names during the import.
  • Make sure one column contain user logins and that the logins are unique. 
  • The file needs to be in the CSV file format, if it is not already. If you opened the file using Excel, save it as a CSV file:
    • Click the Microsoft Office Button and then click Save As >Other Formats. If you do not see the Microsoft Office Button, click Save As > Other Formats on the File menu.
    • In the File Name box, provide a name for the file.
    • In the Save As Type drop-down list, select CSV (Comma delimited)(*.csv).
    • Click Save.
Importing Users from a file
Note: Before importing the file, you will need to close it if it is open in any other programs.   If you do not close the file, you will see an error similar to the following:

"An unexpected error has occurred. The Microsoft Jet database engine cannot open the file. It is already opened exclusively by another user, or you need permission to view its data."
  • Click the Import button on the toolbar.
  • An Import Users window will appear. Navigate to the CSV file to import, select it, and click Open.
  • When prompted "Does the first line of the file identify the column names?"
    • Choose Yes if you created the header columns suggested in the Import Preparation section.
  • The next screen is where you will identify which TekTrack fields will be populated and which columns in the CSV file will provide the information. You will need to setup a mapping between them.
    • TekTrack Field. Available TekTrack user fields (i.e. Name, Full Name, Email) that can receive the imported information.
    • CSV File Column. Column headers found in the CSV file.
      • Click on the column field to access the drop-down list and select the column to correspond to a TekTrack field. When completed, click OK.
  • You will be prompted, "If the user name is already in the system, would you like to overwrite the existing information with the new information?"
    • If you choose YES and the user name already exists in the system, the file information will be used to update the existing user.
    • If you choose NO and the user name already exists, the file information will be ignored and no modifications will be made to the existing user.
  •  Upon completion, the import will display the number of users that were added, updated, or ignored from the file.
